How to create a scheduling link

A scheduling link is a link you send to a candidate so they can pick their own interview time based on your availability. It saves you the back-and-forth of emails, and the interview is booked automatically on your calendar with the video call link included.

Connect your calendar

For Nodi to check your availability and book interviews directly on your calendar, you first need to connect it. You only do this once.

  1. In the left panel, go to Settings.
  2. In the Settings and integrations section, click Google Calendar.
  1. Click Connect Google Calendar and sign in with your Google account.

Once the connection is active, you'll see a green dot next to Google Calendar. If your company uses Outlook, choose Outlook Calendar.

  1. Create your first scheduling link

Sign in to Nodi and, in the left panel, select Scheduling & interviews.

A new view opens. In the top right corner, click Create booking link.

  2. Fill in the basic information

A form like this one opens. Fill in these four fields:

    1. Link name: the name you'll use to identify the link inside the platform. Only you and the people on your team with access to Nodi can see it.
    2. Calendar event name (optional): the title you and the candidate will see on the calendar when the interview is booked. You can type fixed text, for example “Nodi interview”, or use the buttons below the field: Candidate name, Candidate short name, Role name and Stage.
      • Clicking a button inserts a code in curly braces, such as {{ candidate-first-name }}. You don't need to change it: Nodi replaces it automatically with each candidate's details.
      • If you leave the field empty, the event uses the link name.
Example: if you type Interview {{ candidate-first-name }} for {{ job-posting-name }}, the calendar will show “Interview Juan for Backend Developer”.
    3. Owner: the person who will be the event organizer. You can choose yourself or someone else on your team. Every time a candidate books with this link, the event will be under that person's name.
    4. Duration: how long the call will last.
  3. Add guests

Use this option when you need several people from your team in the same interview, for example when you coordinate a candidate's interview with a department head. You can add guests in two ways:

    1. From your organization: if the person is already on your team in Nodi, you'll find them in the dropdown in box 1.
    2. Custom email: if the person isn't in your Nodi organization, type their email in box 2 and click the + at the end of the box. They'll receive the invitation automatically every time a candidate books. It doesn't need to be a corporate email.
  4. Set your availability

    1. Choose your time zone. In the top right, select your city (for example, Bogotá GMT-5) so your hours show correctly to whoever books with you.
    2. Turn on the days you're available. Use the switch next to each day: green means available; grey shows as “Unavailable”.
    3. Set your hours. For each active day, choose a start and end time. People can only book you within that range.
  5. Create the link

When you finish setting it up, scroll to the bottom of the page and click Create Link.

  6. Share the link and review your interviews

Once the link is created, you'll land on this view, where you can see every interview candidates have booked, with their details and dates.

To see your links, send them to candidates or edit hours and other details, go to My scheduling links.

Then click the three dots on your link. From there you can copy the link to send it to the candidate, open it to see what they'll see, or edit it.
